Report schedules
What a report schedule is
A schedule is a rule for recurring report generation: the system runs the report at a set rhythm (daily, weekly or monthly), builds a file in the chosen format and e-mails it to the specified recipients. Nobody has to log in for the listing to be prepared.
Typical uses:
- a morning listing of open and overdue issues for a department manager,
- a weekly complaints report for a supplier or retail chain,
- a monthly summary of repair costs for the management board.
Creating a schedule
A schedule is created from a report you have just run:
- Run the report and set the filters that should apply to the recurring listing.
- Click Generate report to see the results and confirm the filters are correct.
- On the results screen click Set schedule.
- Fill in the settings and save.
The filters from the results screen are stored in the schedule — every recurring run uses exactly the same set of conditions.

Recipients do not need an account
You can send the report to any e-mail address — including someone who does not use Reklamator. Keep in mind that the file contains issue data, so choose recipients carefully.
When reports are generated
The system checks schedules every hour and runs them at 7:00 AM in the time zone configured in the account:
- Every day — daily at 7:00
- Every week — Mondays at 7:00
- Every month — on the first day of the month at 7:00
The generated file reaches recipients as an e-mail attachment. Scheduled reports do not appear in the Report downloads list — they are delivered by e-mail only.
Dates in filters and recurrence
A filter with a fixed date (e.g. 2026-07-01) stays the same on every run and stops making sense after a while. In schedules use dynamic date values — e.g. "first day of the previous month" and "last day of the previous month" — which are resolved on every run.
Data scope of a recurring report
A scheduled report is executed in the context of the person who created the schedule — it covers issues from the organisations that person has access to. The recipient simply receives the finished file, regardless of whether they have an account or what permissions they hold.
In practice this means that if the schedule's author loses access to some organisations, the content of the recurring report narrows accordingly.
Managing schedules
Schedules are listed under the report name in Configuration → Issue types → [type] → Reports. From there you can:
- edit a schedule (click its name) — change the name, frequency, format, language and recipients,
- delete a schedule (bin icon) — once confirmed it stops running immediately.
A single report can have several schedules — for example a daily one for the team and a monthly one for management.
FAQ
Can I create a schedule without running the report?
No. A schedule stores the filters from the results screen, so the report has to be run with the target filters first.
Can I change the delivery time?
No. Recurring reports are generated at 7:00 AM in the account's time zone. You can change the frequency, but not the time of day.
Can I change the filters of an existing schedule?
Editing covers the name, frequency, format, language and recipients. To change filters, create a new schedule from the report with the new filters and delete the previous one.
What happens if the report returns no data?
The file is still generated and sent — with column headers only and no rows.
Does a schedule work when nobody is logged in?
Yes. Generation happens on the server, independently of user activity.
What happens to the schedule when the report is deleted?
Schedules and versions attached to a report are deleted together with it and stop running.
